    What is Task Analysis?

Task analysis is a technique of breaking down a specific complex task into several different tasks that can be performed with ease. For instance, if you are assigned a project of construction of a commercial building, it is not something that will be ready in like a month or two. It is a type of project that will take some time. So, to perform such projects with ease, it is a good practice to divide the whole project into several different stages.

Segregating a long-term project or a complex task into different stages makes the ultimate goal or objective more manageable and easily attainable. The complexity or difficulty of a task might make it seem impossible. In any such situation, using task analysis can be of great help.

Many employers or organizations might make it compulsory for their subordinates to perform task analysis whenever they are assigned a new task. Performing the task analysis is good both for the employees and the organization. Most organizations use their own task analysis template for different types of tasks. These templates act as a guide whenever a task or project of a particular type comes up.

How to do a Perfect Task Analysis?

As mentioned earlier, the task analysis process involves the division or distribution of a bigger task into a number of smaller tasks or objectives. Different parts of a task are properly analyzed and separate segments or stages of that task are created.

Now that you know what is a task analysis, it is also important to know how to do task analysis. To make your task analysis perfect and effective, make sure to keep in mind the following steps:

1- The Task and its Details:

The first step in the task analysis is to identify the task itself and write down its details. Identifying the task means your ultimate goal or target that you want to achieve. The details of the task include:

    • time required for the completion of the task
    • resources that will be required (both human as well as financial)
    • the expected outcome or result of the task
    • scope of work
    2- Purpose of Task Analysis:

Clearly explain the reason or purpose of performing the task analysis as it will help you stay focused on your objectives.

3- Division of the Main Task:

It is the most crucial part of the task analysis process in which you have to divide or break down the main task into several different sub-tasks. When the main task is divided into manageable small targets, it makes it easy for you to achieve it.

When the main task is divided, explain all the sub-tasks in detail. You will have to identify what steps, processes, and resources are required to complete each task thus leading your way to ultimately achieve the end target. You should also set the deadline for the completion of each sub-task.

    4- Organizing the Sub-Tasks:

After breaking down the main task into sub-tasks, you should also organize and prioritize all the sub-tasks. This is because in order to complete the main task effectively and efficiently, all the sub-tasks should be completed in a proper sequence. So, it is quite important to identify which sub-task should be accomplished first and which one should be completed at the end.

    5- Results of Sub-Tasks:

While explaining each sub-task, you should also mention the expected outcome or result of each sub-task. Here, you should also mention the steps or actions that should be taken in case the actual result is different from the expected result.

    6- Setting the Quality Standards:

For each sub-task, you should also set the work quality standards. Doing so will make it clear to the employees regarding the quality of work that will be accepted. This will encourage them to deliver high-quality work.

    7- Risk Analysis:

The task analysis should also take into account the risks associated with the main task as a whole as well as the risks related to each sub-task. You should also explain the necessary steps that will be required for minimizing or mitigating such risks.

    8- Reviewing the Task Analysis:

After completing your task analysis, you should review it thoroughly and with great care. Reviewing the task list is very important as missing a single step or process might result in unfavorable outcomes.
